Job Summary
This position provides professional, confidential, administrative, and executive secretarial support to the Roadways, Fleet and Support, and Water and Waste Operations Departments.
Duties & Responsibilities
1. Provides administrative and executive support to the management teams in the Roadways, Fleet and
Support as well as the Water and Waste Operations Departments.
2. Prepares, edits, and circulates a variety of correspondence, including those of a confidential nature, on
behalf of the management groups.
3. Prepares, distributes, and monitors completion of all annual performance assessments for
management staff in the Department Sections.
4. Oversees the processing of memos, reports, internal and external correspondence so that they comply
with corporate standards and assists in preparation of presentations.
5. Support meeting tracking and scheduling for management and stakeholders of the Departments.
Responsible for managing and distributing meeting minutes.
6. Receives, screens, and expedites telephone, written, and in-person inquiries and determines
appropriate action.
7. Ensures accurate filing and record management system use.
8. Assist in planning and coordination of special events for the Departments.
9. May perform the duties of the Secretary III, and other clerical positions in Roadways, Fleet and
Support as well as the Water and Waste Operations Departments, as required.
10. Performs other related duties, as assigned.
Qualifications
• Grade 12 education.
• Graduation from a recognized business college or post secondary institute.
• Two years’ related senior secretarial experience.
• Equivalent combination of education and experience will be considered.
• Demonstrated proficiency with typing, use of office equipment, and computer and Microsoft office use
(particularly Excel).
• Ability to deal courteously and tactfully with the public and other civic employees.
• Ability to deal with sensitive information in a confidential manner.
• Ability to compile and coordinate information to compose correspondence and reports.
• Ability to establish and maintain effective working relationships.
• Ability to work with minimal supervision.
Weekly Hours: 36.67
Salary Range: $46,822.80 to $54,661.92 CAD per annum (2022 rates)
