Job Summary

This position provides professional, confidential, administrative and executive secretarial support to the Engineering Services section and the Water Treatment Plant management team in the Saskatoon Water division.

Duties & Responsibilities

1.    Provides administrative and executive secretarial support to the Engineering Services section and Water Treatment Plant management team.
2.    Coordinates all administrative aspects of the Sections, including scheduling appointments and meetings and processing mail.
3.    Formats, edits, and coordinates the submission of all public and in-camera Section reports prepared for the Section Managers so they comply with Corporate Standards.
4.    Prepares, edits, and circulates a variety of correspondence, including those of a confidential nature, on behalf of the Section Managers.
5.    Prepares confidential correspondence for the Section Managers.
6.    Takes, prepares, and distributes minutes of Section meetings.  Schedules, and takes minutes for, Committee meetings, as directed by the Section Managers.
7.    Arranges and schedules appointments and meetings for the Section Managers.
8.    Arranges registration to conferences, workshops, and training sessions for Section staff.  Arranges travel plans, travel expense advances, and itineraries for Section staff, as required.
9.    Prepares, distributes, and monitors completion of all annual performance assessments for management staff in the Sections.
10.    Assists with the monitoring and completion of leave reports for outstanding vacation entitlements for management staff in the Sections.
11.    Oversees the processing of reports and internal and external correspondence, so that they comply with corporate standards.
12.    Receives, screens, and expedites telephone, written, and in-person inquiries and determines appropriate action.
13.    Plans and coordinates special events for the Section.  
14.    Performs duties of Administrative Coordinator, as required.
15.    Performs other related duties as assigned.


•    Graduation from a recognized business college.
•    Typing speed of 55 w.p.m.
•    Two years’ related senior secretarial experience.
•    Ability to deal with sensitive information in a confidential manner.
•    Ability to compile and coordinate information to compose correspondence and reports.
•    Ability to establish and maintain effective working relationships.
•    Ability to work with minimal supervision.
•    Skill in the use of a computer with Microsoft Office software.

Weekly Hours: 36.67 

Salary Range: $46,822.80 to $54,661.92 CAD per annum (2022 rates)
