Job Summary

Under supervision of the Clerical Supervisor, this position performs a variety of clerical and secretarial functions for the Parks Department.

Duties & Responsibilities

  • Types, formats and processes a variety of Departmental correspondence, tenders, manuals and reports, including reports for submission to City Council and its subcommittees, from written copy and electronic sources using appropriate business English.
  • Arranges meetings, prepares agendas, records and distributes minutes.
  • Facilitates the procure-to-pay process by entering and processing purchase requisitions and purchase orders, processing invoices, and completing service entry sheets and goods receipts in the City’s Enterprise Resourcing Planning (ERP) system.
  • Processes and verifies claims for various employee reimbursement programs.
  • Assists with administrative procedures regarding seasonal Parks staff layoff and recall.
  • Maintains Power Mobile Equipment (PME) operator documentation to ensure records are current and meet legislative requirements.
  • Maintains various filing systems, including filing documents, retrieving, coding and replacing files, and oversees the Records Management System to ensure that document filing complies with the corporate standard.
  • Performs the receptionist duties of the Clerk 7, as required.
  • Enters data into spreadsheets and database systems and prints reports, as required.
  • Performs other related duties as assigned.

Qualifications

Education, Training and Experience Requirements:

  • Grade 12 education.
  • Graduation from a recognized business college.
  • Typing speed of 45 w.p.m.
  • Three years' diversified and progressively responsible related office experience.

 

Knowledge, Abilities and Skills:

  • Knowledge of modern office practices and procedures.
  • Knowledge of business English and arithmetic.
  • Ability to deal courteously, tactfully and effectively with the public and civic employees.
  • Skill in the operation of office equipment, including a computer with word-processing, spreadsheet and database software.

Weekly Hours: 36.67 

Salary Range: $58,509.84 to $64,506.72 CAD per annum (2026 rates)
